Playbook by Venue Intelligence
Terms of Use
Effective October 1, 2026 · Privacy Policy: playbook.events/privacy
These terms cover your use of Playbook: the iOS and Android apps, the web console at playbook.events, and the text messages and emails Playbook sends. Playbook is operated by Venue Intelligence II, LLC ("Venue Intelligence", "we", "us"), 10525 Trebah Cir, Carmel, IN 46032, United States.
1These terms
By signing in to Playbook, you agree to these terms and to our Privacy Policy. If you use Playbook for an organization, that organization's agreement with us also applies, and where it conflicts with these terms, the organization's agreement controls.
Agreeing to these terms is not consent to receive text messages. You give that consent separately, as described in section 4.
2Who can use Playbook
Playbook is invite-only. You may use it if an organization has added you to one of its events or accounts and you are 13 or older. Playbook is offered in the United States.
Your access is personal. Don't share it, let anyone else use your account, or pass Playbook content to anyone the organization has not invited.
3Accounts and sign-in
On the mobile apps you sign in with your mobile number and a one-time code we text you when you request it. On the web console, administrators sign in with an email address and password.
Keep your codes and password private. Tell us right away at support@venueintel.com if you think someone else has used your account. Keep your name, email and mobile number accurate so codes and messages reach you.
4Text Messaging Terms
These terms apply to text messages sent by Playbook, whether delivered as SMS or as RCS (a richer form of text message supported by most current phones). The program name is Playbook, operated by Venue Intelligence II, LLC.
What we send
Playbook sign-in codes. A one-time verification code that lets you sign in to the Playbook mobile app or confirm your mobile number. We send a code only when you request one.
Playbook event invitations. A message telling you that an organization has added you to an event in Playbook, and how to get the app and sign in. Each invitation names Venue Intelligence and the organization. Invitations are about the event only and never contain marketing. Receiving invitations is not a condition of using Playbook: you can get the app and sign in without one.
How you opt in
Sign-in codes: you opt in each time you enter your mobile number and tap "Send code" in the Playbook app, where the messaging disclosure and links to these terms and our Privacy Policy appear beside the button.
Event invitations: you opt in through the organization that adds you to its event. When an organization adds people to Playbook, it confirms that each of them agreed to receive event text messages. Consent you gave an organization for its other messages does not carry over to Playbook.
Subscribers will opt in via the Playbook app and playbook.events to receive verification messages from Venue Intelligence II, LLC, powered by AWS Notify. Message frequency may vary per user.
Message frequency
Sign-in codes are sent only when you request one. Invitations are typically one per event, plus any resend the organization requests. Message frequency may vary per user.
Cost
Message and data rates may apply for any messages sent to you from us and to us from you. If you have any questions about your text plan or data plan, contact your wireless provider.
Help
Text "HELP" for help. For all questions about the services provided, you can send an email to support@venueintel.com or call +1 317-429-0482. No sign-in is needed.
Stopping messages
Text "STOP" to cancel. You can reply STOP at any time to the number that texted you. You will receive one message confirming that you have opted out, and no further messages from that number.
A STOP applies to every message from that number. Playbook uses shared numbers, so a STOP blocks sign-in codes and invitations from every organization that uses Playbook, not just the one that invited you. While you are opted out, you can't sign in to the mobile app with a text-message code. Stopping messages does not remove you from an event; ask the organization that invited you to do that.
To start receiving messages again, reply START or UNSTOP to the same number.
Delivery
Carriers are not liable for delayed or undelivered messages. Neither we nor your wireless carrier guarantee that messages will be delivered, and neither is liable for delayed, misdelivered or undelivered messages. Delivery can be affected by things outside our control or your carrier's, including your phone, your coverage, terrain, buildings and weather. If your phone or carrier does not support RCS, the message may be sent as standard SMS instead, or may not arrive.
Privacy
Your mobile number and your consent to receive text messages are not shared with third parties or affiliates for marketing or promotional purposes, or with any other messaging program. If you have questions regarding privacy, please read our privacy policy at https://playbook.events/privacy.
Changes to the messaging program
We may change or end the messaging program. If we do, we will update these terms and the effective date above.
5Playbook is not an emergency service
Playbook helps event teams share plans and procedures. It does not contact emergency services and is not a substitute for them. In an emergency, call 911 and follow the instructions of event staff and first responders.
Messages and updates can be delayed, and information stored on your phone for offline use may be out of date until your phone reconnects. Don't rely on Playbook as your only way to receive urgent instructions.
6Acceptable use
Playbook carries emergency and security information, and the messages it sends travel over public mobile networks. Don't use Playbook to:
break the law, help anyone else break it, or violate anyone's rights, including privacy rights;
publish, post or circulate event plans, emergency procedures or other event content outside the people it was shared with;
post content that is harassing, threatening, hateful, sexually explicit or misleading;
upload content you don't have the right to share;
upload malware, or access accounts, events or data you weren't given access to;
probe, scan or test Playbook's security without our written permission, or overload or interfere with its systems;
scrape, copy or extract data other than through features we provide;
resell access, reverse-engineer Playbook except where the law allows, or use it to build a competing product;
misrepresent who you are.
Messaging rules for organizations
Broadcasts and invitations are for operational communication about the event they belong to. Don't use Playbook to send marketing, solicitations, political messages or anything unrelated to the event. Add a person's mobile number only if that person has a working relationship with the event, would expect to hear from the organization about it, and agreed to receive its event text messages.
7Your content
You keep ownership of the photos, documents, messages and other content you add. You give us permission to store, process, display and deliver that content only as needed to run Playbook for you and your organization. You are responsible for having the right to post it. We may remove content that breaks these terms or the law.
8Organizations and administrators
Organizations decide who is invited to their events, what access levels and groups people have, and what content is shared. An organization is responsible for the people it invites and for what its administrators publish. When an organization adds people to Playbook, it confirms that it has the right to share their contact details, that each person agreed to receive event text messages, and that no one added is under 13. Administrators must remove people who no longer need access.
9Changes and availability
We work to keep Playbook available and reliable, but we can't promise it will be uninterrupted or error-free. We may change, add or remove features. If a change significantly reduces what your organization relies on, we will give reasonable notice where we can.
10Disclaimers
Except as stated in an organization's agreement with us, Playbook is provided "as is" and "as available", without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement, to the fullest extent the law allows. Event plans and procedures are written by the organizations that publish them; we do not review or verify them.
11Limitation of liability
To the fullest extent the law allows, we are not liable for indirect, incidental, special, consequential or punitive damages, or for lost data, profits or revenue, arising from your use of Playbook. If you use Playbook for an organization that has an agreement with us, that agreement sets our liability to that organization. Some states don't allow these limits, so they may not apply to you.
12Suspending or ending access
You can stop using Playbook at any time and ask us to delete your information as described in the Privacy Policy. An organization can remove you from its events. We may suspend or end access for anyone who breaks these terms or puts others at risk, with or without notice depending on how serious the breach is. Where the breach is by one person at a customer organization, we will normally raise it with that organization first.
13Governing law
These terms are governed by the laws of the State of Indiana, without regard to its conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Hamilton County, Indiana, unless an organization's agreement with us says otherwise.
14Updates to these terms
We may update these terms. We will post the new version on this page and change the effective date above. For significant changes, we will tell you in the app or by email before they take effect. Continuing to use Playbook after that means you accept the updated terms.
