PLAYBOOK PRIVACY POLICY

Privacy Policy

Playbook is provided by Venue Intelligence, LLC. This policy explains what information the Playbook applications collect, why, and what happens to it.

Playbook is not a consumer product. It is provided to organizations that run events and venues, and it is not available to the general public. People use Playbook because an organization invited them to.

WHO CONTROLS YOUR INFORMATION

If you are a member of event or venue staff using the Playbook mobile app, the organization that invited you decides what information about you is in Playbook and who can see it. Venue Intelligence holds and processes that information on their instructions. Requests to see, correct or remove your information should go to the organization that invited you. We will help them act on your request.

If you are an administrator at a customer organization, Venue Intelligence is responsible for the information you give us directly when you set up and use your account.

WHAT WE COLLECT

Your mobile number. Playbook identifies people by mobile number rather than email address. Your number is how the app knows who you are, how an invitation reaches you, and how your access is matched when you are invited to more than one event.

Your name and role. Provided by the organization that invited you, usually by uploading a contact list. You did not have to give it to us yourself, and in most cases you will not have.

Contact details the organization chose to share. An organization may include an email address or additional phone numbers in a contact entry so other staff can reach you during an event.

Whether you have accepted an invitation, and whether you have checked in. Recorded per event.

Device information. Enough to deliver notifications and to keep your copy of the plan current, including a device identifier and the app version.

What content your device has received. On the EOC plan, an organization can see how widely a plan has been distributed across its venues and events.

Activity records. On the EOC plan, an organization can record operational activity during an event and export it afterwards. Entries may name the person who made them.

WHAT WE DO NOT COLLECT

  • We do not collect payment information. Billing happens outside the Playbook applications.

  • We do not use advertising identifiers, and we do not serve advertising.

  • We do not sell personal information, and we do not share it for cross-context behavioural advertising as those terms are used in California law.

  • We do not read your contacts, photos or messages.

HOW WE USE IT

  • To send you an invitation and verify that it reached you

  • To show you the plans, maps, contacts and notifications the organization has given you access to

  • To deliver broadcast notifications sent by that organization

  • To let the organization see who has accepted, and who has checked in

  • To keep the service secure, diagnose faults, and meet our legal obligations

TEXT MESSAGES

Invitations and some notifications are sent by text message. Message and data rates may apply. You can stop messages at any time by replying STOP. Stopping messages does not remove you from an event; ask the organization that invited you to do that.

INFORMATION ON YOUR DEVICE

After the initial download of event data, Playbook is built to work without a signal, so the content you have access to is stored on your device and stays readable when you are offline. When an organization removes your access, your device removes that content the next time it connects. Until it connects, content already downloaded remains on the device.

WHO WE SHARE IT WITH

  • The organization that invited you, and the administrators it has authorized.

  • Service providers that host the service and deliver messages on our behalf, under contract and only for that purpose.

  • Where the law requires it, or to protect safety.

  • A buyer, if the business or the relevant part of it is sold.

WHERE IT IS HELD

Playbook is hosted in the United States. If you use it from outside the United States, your information is transferred there.

HOW LONG WE KEEP IT

We keep information for as long as the organization's account is active, and for 24-months afterwards or only as long as we need it for legal, accounting or dispute-resolution purposes.

YOUR RIGHTS

Depending on where you live you may have the right to see the information we hold about you, correct it, delete it, or object to how it is used. Because most information in Playbook is placed there by the organization that invited you, the quickest route is to ask them. You can also contact us and we will pass your request on.

California residents have the right to know what personal information is collected, to delete it, to correct it, and not to be discriminated against for exercising those rights. We do not sell personal information or share it for cross-context behavioural advertising.

CHILDREN

Playbook is designed for use by adults who manage, supervise, or support activities at an event or venue. It is not directed to children, and we do not knowingly collect personal information directly from anyone under 13.

Organizations using Playbook may enter limited information about participants, which can include children, solely for operational, safety, or supervision purposes (for example, to help staff or volunteers understand dietary restrictions or medical needs). This information is provided by the organization, not by the child.

If you believe information about a child under 13 has been added in error or outside of an authorized organizational context, please contact us and we will promptly remove it.

SECURITY

Access to content is restricted to the people an organization has invited, enforced on our servers rather than only in the app. Information is encrypted in transit and at rest. No system is perfectly secure, and we do not claim otherwise.
